Job Details:
Performs day-to-day Administrative functions in addition to supporting the Tax team 
 
Core Responsibilities: 
Be accountable for assigned tasks 
Office data (records) maintenance 
Performs office process pursuant to firm guidelines 
Office user support service 
 
Essential Functions: 
Provide administrative support to Administrative Services Manager and tax department  
Execute special project plans including objectives, priorities, team, timelines and deliverables 
Coordinates calendars and schedules appointments, ensuring all parties are informed of and kept abreast of schedule awareness 
Coordinates meetings including but not limited to preparing and distributing agendas and other meeting materials, reserving and preparing facilities, and transcribing meeting minutes 
Composes, types, and distributes professional correspondence, memos and e-mails 
Demonstrates a high level of professionalism in dealing with confidential and sensitive issues 
Performs general clerical duties including but not limited to filing, photocopying, faxing, and mailing. 
Assist Tax department with client set up in necessary applications 
Coordinate assignment of professional person responsible for workflow processes  
Monitor tax return / projects in workflow tracking system  
Create and distribute weekly tax returns status reports to Partners/Managers  
Assist in ongoing maintenance/cleanup of the tax return/ projects tracking system  
Scan client documents into client file in Scan/Autoflow, obtain and deliver copies of previously filed client tax returns, and return original documents to clients  
Assemble completed tax returns, estimates and extensions and deliver to appropriate personnel; update the tracking system  
Coordinate and submit certified mail for the department and maintain tracking log  
Prepare mailing of returns, estimated tax payment vouchers to clients  
Print payment vouchers and instructions, prepare mailing envelopes and present to account manages  
Transmit returns and extensions electronically  
Manage tax return electronic filing system processes, including verifying e-file was accepted and managing e-file rejections and taking corrective action on rejected files 

Qualifications: 
Associate's degree (AA) or equivalent, 1 to 3 years of related experience. 
Excellent verbal and written communication skills. 
Intermediate skill set with Microsoft Office and Adobe Products 
Commitment to excellence and high standards (i.e., acute attention to detail). 
Strong organizational, problem-solving, and analytical skills; able to manage priorities and workflow. 
Ability to deal effectively with a diversity of individuals at all organizational levels. 
Good judgment with the ability to make timely and sound decisions. 
Ability to work independently and as a member of various teams and committees. 
Versatility, flexibility, and a willingness to work within constantly changing priorities with enthusiasm. 
Demonstrated ability to plan and organize projects.

Pay range: $25-$30/HR
